Complaints
Procedure for
Freelance Workers.
We recognise that our success depends on the highest standards of professionalism of all our colleagues. Please refer to our Code of Conduct for full details of our expectations. We want to ensure that, regardless of your contractual status, if you have a serious concern whilst providing services to Mammoth then you have a simple way of raising this with us. A genuine concern regarding inappropriate conduct within the workplace may be resolved informally and, where appropriate, you should always try this approach first. If it can’t be resolved informally or you think it's too serious an issue then you can raise a formal complaint. A formal complaint will always be taken seriously and handled fairly, quickly and confidentially.
The process
Send your complaint in writing to (i) either your Head of Department or, if you think it is more appropriate, to the Producer, and (ii) to the dedicated Mammoth production executive for your programme. Please try to explain clearly what your complaint is about, including any supporting documents or evidence that you might have. Please do not ask colleagues to contribute to that complaint – if it is appropriate, we will talk to them during the course of any investigation.
You will then meet with the HoD or Producer (as appropriate) to talk about your concerns. At that meeting you will be asked what outcome you would like to see following your complaint. The HoD/Producer will then discuss the matter with the Mammoth production executive and they will decide what action will be taken next. That might include a follow-up meeting with the Mammoth production executive or an investigation into your complaint.
Notes will be taken at every meeting with you.
Once an investigation has concluded then we will write to you, summarising our findings and our intended solution(s). This decision will be final. This will happen ideally within 3 weeks from receiving your complaint. If the investigation is taking longer than anticipated then we will tell you and give you an estimate of when we think it will conclude.
Please remember that any investigation will very probably mean that we talk to your colleagues and, if the complaint is about one or more individuals, then we will need to talk to those people directly about your concerns. We will not be able to share with you the detail of those discussions which will need to remain confidential.
Further information
Depending on the nature of the complaint, some or all of the senior management at Mammoth will be kept informed of your complaint and any subsequent investigation. They may get involved directly and may want to meet you separately to discuss your concerns or the findings from any investigation. If a complaint deals with a potential criminal offence then Mammoth would refer the matter to the police or other relevant authority, although the decision whether to press charges will ultimately be yours. This procedure does not apply to employees of Mammoth, for whom there is a separate grievance procedure to raise any complaints or concerns.
